The short answer
Short answer, checked on 7 October 2026: for a 5-person team, billed monthly, an AI email assistant costs $42 to $495 a month. The low end is AI you may already pay for: Google Workspace Business Starter includes Gemini in Gmail at $8.40 a user, and Microsoft includes Copilot Chat, which can read your Outlook inbox, with eligible Microsoft 365 business plans at no additional cost. Bought separately, Shortwave, Superhuman Starter and Lindy Plus each come to about $150 a month for 5 seats, Superhuman with auto drafts to $200 and Fyxer Pro to $245. The first filter is your mail provider: Shortwave is Gmail only, and only SaneBox works with any IMAP server.
| Tool and plan | 5 seats, billed monthly | 5 seats, billed annually | Works with |
|---|---|---|---|
| Google Workspace Business Starter (Gemini in Gmail) | $42 | $35 | Gmail (Workspace) |
| SaneBox Snack (1 email account) | $47.45 | $27.10 | Gmail, Microsoft 365, any IMAP |
| Microsoft 365 Copilot Copilot Business add-on | $126 | $105 | Outlook (Microsoft 365) |
| Lindy Plus (3,000 credits each) | $149.95 | No annual price | No provider named on pricing page |
| Shortwave Business | $150 | No annual price | Gmail only |
| Superhuman Starter | $150 | $125 | Gmail, Outlook |
| Superhuman Business (auto drafts) | $200 | $165 | Gmail, Outlook |
| Fyxer Pro | $245 | $185 | Gmail, Outlook |
| Fyxer Team | $495 | $320 | Gmail, Outlook |
What Google’s answer gets wrong about cost
When we captured Google’s AI Overview for “best ai email assistant” on 5 October 2026, it filed Microsoft Copilot for Outlook and Gemini in Workspace under “Best Built-In & Zero Cost”. That is half right. Gemini in Gmail is checked on every Google Workspace business plan, from Business Starter at $7 a user a month on a yearly commitment or $8.40 without one, so it costs nothing extra if you already pay for Workspace. On Microsoft’s side, Copilot Chat is included in Business Basic, Standard and Premium, and Microsoft Learn says Copilot Chat in Outlook works on your inbox and calendar for eligible users without a Copilot license. The full Copilot in Outlook is a paid add-on: $21 a user a month on a yearly plan ($18 as a first-year promotion running to 31 December 2026) or $25.20 month to month.
The same answer called SaneBox “Best Budget / Lightweight Filter”. SaneBox’s pricing page opens on a price billed every 2 years, $4.54 a month for Snack. Billed monthly, Snack is $9.49. It is still the lowest-priced add-on here, but the headline figure assumes a 2-year commitment. And it described Superhuman’s “automated replies that mimic your writing style”: Superhuman lists Auto drafts under Business ($40 a member billed monthly), not Starter ($30).
Pick by mail provider first
Half of this list is decided before price comes into it:
- Gmail or Google Workspace: Gemini in Gmail, Shortwave, Superhuman, Fyxer and SaneBox. Shortwave connects natively to Gmail and Google Workspace only.
- Outlook or Microsoft 365: Superhuman, Fyxer, SaneBox and Microsoft Copilot. Shortwave can reach an Outlook account only by first connecting it to a Gmail account.
- Any other IMAP host (iCloud, Yahoo, Fastmail, your web host): SaneBox, which names any IMAP, Microsoft Exchange or ActiveSync server.
- Lindy: its pricing page lists inbox management and connecting 2 to 5 inboxes depending on plan, but names no provider, so check before you buy.
Cost per hour each vendor says it saves
Three vendors publish a number for time saved. These are their claims, not our measurement, but they let you price a seat against an hour. A month is 4.33 weeks.
| Tool | Vendor claim | Hours a month | Per claimed hour, monthly billing | Per claimed hour, annual billing |
|---|---|---|---|---|
| Superhuman | “Save 4 hours per person every single week” | 17.3 | $2.31 (Business) | $1.90 |
| Fyxer | 5.6 hours, “Average time saved per user each week” | 24.3 | $2.02 (Pro) | $1.52 |
| SaneBox | “save you up to 3-4 hours per week on email” (low end used) | 13.0 | $0.73 (Snack) | $0.42 |
Read the other way: on its own claim, a Superhuman Business seat pays for itself if an hour of that person’s time is worth more than $2.31, Fyxer Pro above $2.02, SaneBox Snack above $0.73. Whether the claimed hours show up for your team is what the free plans and trials below are for.
The tools, one by one
Superhuman
Superhuman is a mail client for teams on Gmail or Outlook. Starter is $30 a member a month billed monthly or $25 billed annually; Business, which adds Auto drafts, Ask AI and custom auto labels, is $40 or $33. The page marks Business “15% off for teams of 5+” without saying whether $33 already includes it, so we quote list. Neither pricing page mentions a free plan or trial. Superhuman’s claim is 4 hours saved per person a week.
Shortwave
Shortwave is a Gmail client with an AI assistant. It has a Free plan, Pro at $18 a seat for individuals, and team plans Business $30, Premier $45 and Max $120 a seat a month, with a 14-day trial. Billing is monthly only. Usage is a daily quota: roughly 150-300 AI requests a day on Business and 300-600 on Premier at the Standard intelligence level. Outlook, Fastmail and Yahoo accounts work only through a connected Gmail account.
Fyxer
Fyxer sorts the inbox, drafts replies and takes meeting notes in Gmail or Outlook. Pro is $49 a person a month billed monthly or $37 billed annually; Team is $99 or $64. Both have a 14-day trial, and Enterprise starts at 50 users. Usage is metered in credits: unlimited for the first 3 months, then 3,000 a month per Pro member and 6,000 per Team member, pooled. Sorting costs 0.2 credits an email, a chat message 20, a recorded minute 1. Fyxer’s own example of a Pro month is 5,000 sorted emails, 25 recording hours and 25 chat messages, which is exactly 3,000 credits; sorting alone would cover 15,000 emails. The Free plan gives 400 credits (about 20 chat messages) and does not draft replies or sort the inbox. Its claim is 5.6 hours saved per user a week. Fyxer also records meetings, which overlaps with the AI note takers we compared separately.
SaneBox
SaneBox filters mail into folders on the server, so it works with whatever client you already use, on Gmail, Microsoft 365, iCloud, Yahoo, Fastmail or any IMAP or Exchange server. It does not draft replies. Plans are priced by email accounts: Snack (1 account, 2 features) $9.49 a month billed monthly, $5.42 annually, $4.54 billed every 2 years; Lunch (2 accounts, 6 features) $15.99; Dinner (4 accounts, all features) $42.99. There is a 7-day trial and no free plan, with 25% off for education, non-profits and government. SaneBox claims up to 3 to 4 hours saved a week. We have no review page for it yet.
Lindy
Lindy is a general AI assistant whose plans include inbox management and drafting replies in your voice. Plus is $29.99 a user a month with 3,000 credits, Pro $99.99 with 15,000, Max $199.99 with 35,000; you start with $50 in free credits and no credit card. Drafting a reply is one of its “Everyday Asks” at 2 to 250 credits, so Plus’s 3,000 credits cover between 12 and 1,500 of them a month. Credits pool across the team, do not roll over, and when they run out Lindy pauses until the next cycle. Sending an email waits for your approval.
Gemini in Gmail (Google Workspace)
Google Workspace lists Gemini in Gmail, to find, summarize and write emails, on Business Starter, Standard, Plus and Enterprise. List prices per user a month are Starter $7, Standard $14 and Plus $22 on a yearly commitment, or $8.40, $16.80 and $26.40 without one, with a 14-day trial and a 300-user cap. Starter limits Gemini in the other Workspace apps. Unlike every add-on here, that price includes the mailbox.
Microsoft 365 Copilot in Outlook
Microsoft 365 Copilot comes in two layers. Copilot Chat is included in Microsoft 365 Business Basic ($7 a user a month paid yearly), Standard and Premium, and in Outlook it can answer from your inbox, calendar and meetings for eligible users without a Copilot license. Copilot in Outlook proper is marked “Priority” on the paid tiers: the Copilot Business add-on at $21 a user a month yearly or $25.20 monthly, or bundles such as Business Standard with Copilot at $23.50 yearly or $28.20 monthly. For 5 people that bundle is $117.50 a month on a yearly plan, mailbox included. The add-on has a one-month trial that needs a credit card, and both cap at 300 users.
Which one for which team
- You already pay for Workspace or Microsoft 365: try Gemini in Gmail or Copilot Chat in Outlook before adding a seat anywhere; the extra cost is $0.
- You want a quieter inbox and keep your client: SaneBox, $47.45 a month for 5 people billed monthly, on any IMAP host.
- You want drafted replies in Gmail on a budget: Shortwave Business, $150 a month for 5, monthly only.
- You are on Outlook and want drafts plus meeting notes: Fyxer Pro, $245 monthly or $185 on annual billing for 5.
- You want one assistant for email and other work: Lindy Plus, $149.95 for 5, watching the credit meter.

How we checked
Every price, plan, allowance and claim was read on 7 October 2026 on the vendor’s own pricing page, product page or Microsoft Learn, in a rendered browser, with each billing toggle clicked and saved separately. The 5-seat totals and cost per claimed hour are our arithmetic on those list prices; the SaneBox total assumes one Snack subscription per person, because it prices by email account, not seat. We did not test these assistants on our own inboxes for this article, and no score in the boxes above was changed for it. The Google quotes are from our capture on 5 October 2026.
